About the Role
The Administrative Assistant focuses on providing support services to the Mission and Identity team members to enable the efficient operation of the team.
The Administrative Assistant is required to perform tasks that include but are not limited to:
- providing administrative services including filing, mail receipt and sorting, maintenance of registers and mailing lists, routine purchasing, meeting and event support, photocopying, and creating and compiling documents to support the effective operation of the team/unit
- communicating and/or distributing team announcements, notices and reminders in a timely manner as directed
- processing applications for accreditation to teach Religious Education and for accreditation for Senior School Leadership in the Archdiocese of Sydney
- processing applications for reimbursement of study and responding to enquiries
- assisting with team events including but not limited to planning and coordinating team celebrations
- collecting and compiling information to support the development of documentation and reports
- responding to enquiries and routine requests for information, and escalating enquiries as necessary, to ensure the provision of accurate information
- updating records and databases, and complying with record management processes to ensure information is accurate, stored correctly and accessible
- ensuring all work activities align with SCS’ vision, mission, values and Capability Framework
- reporting all concerns regarding child safety and allegations of inappropriate conduct to the line manager and the SCS Child Safety team. SCS is a child-safe environment and all concerns regarding child safety and allegations of inappropriate conduct will be treated seriously
- promoting and implementing SCS’ mission and vision
- promoting and abiding by SCS’ values
- undertaking any other duties as directed from time to time.

About You
The successful candidate will also possess the following:
- tertiary qualification/certification Certificate III/IV in administration or relevant experience
- demonstrated skills in problem solving
- demonstrated skills in accurate and timely data entry
- demonstrated excellent telephone manner and highly skilled in handling difficult conversations
- demonstrated excellence in customer and client service
- demonstrated personal initiative and ability to work effectively in a team environment
- demonstrated ability to multi-task and prioritise competing priorities
- technology proficiency in Google Suite, Microsoft Office suite and SharePoint
- willingness to respect, support and uphold the mission, ethos and teachings of the Catholic Church and the values of Sydney Catholic Schools.
Desirable:
- prior administration experience
- previous experience in record management
- a current driver’s licence and access to a car
- knowledge of Catholic Systemic Schools/Systems
- is a practising Catholic with demonstrated evidence of ongoing commitment to the teachings of the Catholic Church and engagement in the life of a Catholic faith community such as a parish or an established community within the Catholic Church, as an expression of their relationship with Jesus Christ.
