The Position:

The primary purpose of this position is to provide high level executive and commercial advice and support to the Director, Business Operations (DBO) through a variety of tasks related to administration, organisation and communication.
To achieve this, the Executive Advisor will require an understanding of and commitment to the works of the Business Operations of the Archdiocese to facilitate the achievement of objectives as set by the Director, Business Operations.

Responsibilities:

The Executive Officer is accountable for the following:
• Undertaking initial preparation of Archdiocese Finance Council and other governance briefing papers, including preparing content and research as required
• Monitor and report on ongoing matters, tracking deadlines, following up outstanding actions
• Risk Committee: Minute Secretary, including the scheduling of meetings and the preparation and distribution of Minutes and Matters Arising
• High level research: including prepare background briefing papers/notes, data collation and creation of presentations
• Software and database management: EventsAir and Diligent: Responsible as the CAS Administrator for the systems and to champion the use of the software more widely across agencies and support functions
• Identifying and implementing improvements to business and operational processes
• Christmas at the Cathedral Event: assist the DBO and Business Operations Lead with preparation of VIP invitations (via EventsAir), sponsor management and reporting, formal correspondence and assistance during the running of the event.
• Administrative support: diary management, preparation of meeting packs, corporate card reconciliation and travel arrangements
• Assisting as a team member in the smooth running of Business Operations function
• Other duties as requested from time to time

Inter-relationships:

The Executive Officer interacts with the following internal and external groups:

  • Catholic Archdiocese of Sydney Chancery team members
  • Domus Australia team members and stakeholders
  • Benedict XVI Retreat Centre team members and stakeholders
  • Development and Fundraising Offices’ team members and stakeholders
  • Suppliers of the Archdiocese
  • Other external parties as required

Qualifications and Experience:

The ideal Executive Officer will have:

  • Proven experience of at least 5 years in an operational executive level advisor role (or similar), with a demonstrated record of being well-organised and effective workflow management and planning skills
  • Extensive knowledge of office management systems, practices and procedures with a demonstrated record of enhancing processes
  • High level proficiency using contemporary workplace technology, particularly across the Microsoft suite of programs
  • Understanding of complex religious organisations and of the ethos and values of the Catholic Church

Performance Management:

The performance of the (insert position title) will be assessed on a regular basis having regard to:

  • Performance on the key responsibilities and attributes for this role
  • Service levels and the level of satisfaction expressed by key stakeholders
  • Ability to develop and maintain positive and harmonious working relationships with Parish, Chancery, agency and professional contacts.
